When to hire fractional IT

Fractional IT is a part-time or retainer relationship with someone who owns your “tech stack and vendors” the way a full-time hire would—without the fixed cost of a senior headcount you’re not ready for.
Signs you’re in the right window
- Access is a mystery. Ex-employees still have admin on tools. No one can list who can reset billing or own the domain.
- Incidents are expensive. A wrong DNS change, a lost 2FA device, or a misconfigured permission blocks revenue or support for hours.
- You keep buying tools to fix process. Another SaaS subscription rarely fixes broken handoffs; someone needs to design the system.
- Security questions show up in deals. RFPs ask about backup, SOC 2, or data residency before you have crisp answers.
If two or more of these sound familiar, a fractional engagement is usually cheaper than learning the hard way.
What a good fractional partner does in month one
- Inventory — Accounts, vendors, domain/DNS, identity provider, and who can do what. No shame; we only need the truth.
- Triage — Quick wins: MFA everywhere it matters, offboarding checklists, backup verification on the systems you’d miss first.
- Roadmap — A written list of what’s “fix now” vs. “this quarter” vs. “when revenue supports it”.
